The Complete Smart Lists Guide: Rosters, Teams, Tracking & More
Smart Lists is a class roster app, team generator, and lightweight tracker in one workspace. Build the list once, then reuse it for attendance, groups, payments, grades, quizzes, exports, and quick classroom checks.

Smart Lists is a roster manager for teachers, coaches, hosts, and organizers. It holds people โ with tags, tiers, statuses, notes, emails, and one optional value each โ then reuses that one roster for teams, tracking, quizzes, and quick classroom checks. The core loop is offline-first; sign in to save and sync your library across devices.
1. Build a roster
Three ways in: add one person, paste a messy list, or upload a CSV. Smart Lists cleans the input, previews imports, drops duplicates, and respects your plan's roster limit.
- Quick add โ one new member at a time.
- Omni-Paste โ drop in names split by lines, commas, or semicolons; bullets and numbering are stripped before you commit.
- Upload CSV โ auto-detects name, email, score, grade, and amount columns and previews the rows first. A detected value column switches on tracking automatically.
2. Organize members
Every member card holds tags, a tier, a status, a note, an email, an optional value, and a team lock. Edit names and values in place; tuck the rest into the card's drawer so a big roster stays readable.
- Tags for flexible labels ยท tiers for a 3-level skill signal ยท statuses for attendance or availability.
- Customize App renames tier labels, toggles tiers, configures value tracking, and edits the status set.
- A status flagged absent keeps the member on the roster but skips them during team generation.
3. Smart views & bulk actions
Filter the roster to a status category, multi-select the members you want, and apply one change to all of them โ status, tier, add a tag, clear notes, or remove.
Fastest at the start of a session: filter to the right view, select everyone who changed state, apply one update, done. Undo/redo has your back if a bulk edit catches the wrong people.
4. Generate teams
Pick a number of groups, a team size, or tier clusters. Smart Lists balances members against the rules you enable, then lets you drag people between groups before finalizing.
It accounts for tiers, repeat pairings, locked members, and keep-together / keep-apart pairs. Full walkthrough: โ Split into fair teams.
5. Track values, grades & payments
Each list tracks one configurable value per member โ number mode for money or points, grade mode for an AโF scale. The totals panel shows the total, target, outstanding count, or average.
Lightweight by design and tied to the roster. Setup steps and examples: โ Track payments, grades & attendance.
6. Save, sync & library
Your current list is kept locally as you work. Sign in to save it to your library, reopen it later, and sync the newer copy across devices.
- Use separate lists for separate jobs โ e.g. one for payments, one for grades.
- Plan limits: Free 25 members / 3 lists ยท Pro 50 / 25 ยท Power 100 / 50.
- Oversized rosters are never deleted โ the cap only blocks new additions.
7. Export & share
Format generated groups for messaging or plain text, copy them, download them, or use the device share menu. Roster downloads come as CSV or JSON with email and value data included.
For a live session the formatted group output is quickest; for a backup or spreadsheet, download the structured data.
8. Connect other NeuralRun tools
Launch a Pulse Check from an educator roster, attach a Mind Print quiz, or prepare a quiz-link email for members with saved addresses.
- ๐ Pulse Check hands the roster to a teacher-led exit ticket; named results save back as pulse-history dots. See the classroom exit tickets guide.
- Mind Print (Pro/Power) โ attach a saved quiz and copy or open its play link. Scores are entered manually; attaching does not auto-score.
- Email โ direct BCC send is capped at 60 recipients (browser mail-link limit); Copy Emails handles larger sends.
Smart Lists FAQ
Does Smart Lists work offline?
Yes. The core roster, organization, and group workflow is localStorage-first. Cloud sync adds convenience for signed-in users but is not required for the basic loop.
Can I customize attendance statuses?
Yes. Each list can use its own status labels, colors, and absent setting. Absent members remain on the roster but are skipped during team generation.
Can I track multiple values per person?
Each list tracks one value type at a time. Create separate lists when you need independent payment, grade, or score records.
Will attaching a quiz record scores automatically?
No. Smart Lists can attach and share a Mind Print, but scores are currently read from the quiz results and typed into the roster manually.
